Branded PDF sheets and Instagram content: making every listing look like your agency
RealEstateCRM España · 14 August 2026
The Instagram post for the flat you just listed goes out with decent photos, the price and the location, but the chip colours are whatever the system ships with by default, and the logo — if it shows up at all — is the generic placeholder. A follower comparing agencies in their feed, which is most of them these days, cannot tell one agency from another at a glance, and that missing visual identity costs more than it looks like in a post that gets two seconds of attention before the next scroll.
Custom branding in the CRM solves exactly that: you set your logo, primary colour, fonts and call-to-action text once, and that identity is applied automatically to every property's PDF sheet and to the images the system generates for Instagram, with no manual layout work afterwards.
What you configure once
Brand settings live in a single panel: primary colour, heading font, body font, call-to-action button text, agency name, phone, email and Instagram handle. On top of that you decide whether a watermark shows on the images — and in which corner — and which Instagram template to use, the classic layout or the full-bleed photo with overlaid chips. Filling that in takes a few minutes, and from then on every sheet and every image the CRM generates inherits the same identity, without repeating the setup property by property.
That configuration lives inside the multi-office administration panel, so it is usually set once by whoever runs the agency at onboarding, not by each agent individually. If the corporate colour or the call-to-action text changes later, updating it there is enough: sheets and images generated from that point on pick up the change automatically, without touching any property published earlier.
A PDF sheet that builds itself
When you request a property's PDF sheet, the CRM composes an A4 page on the fly with the main photo, the price in a pill using the brand colour, the property highlights with their icons, and a footer with the agency name, contact details and a QR code linking to the public listing. All of that layout uses the fonts and colour set in the brand panel, so an agent does not need to open an image editor or ask design for the file: request the sheet and it already carries the right identity.
Post, story and carousel for Instagram from the same data
The same branding feeds the Instagram images: a vertical post with the cover photo, the price and the property type as overlaid chips, plus a story version and a carousel version for anyone who wants to show several photos in one post. The template — classic or full-bleed photo — and the watermark position are decided once in the panel and apply equally to all three variants, so publishing to Instagram stops depending on someone on the team knowing how to use a design tool.

A case: three agents listing on the same day
An agency with three agents out canvassing usually ends the day with three new flats in the portfolio, each with its own photos and its own data. Before custom branding, publishing those three flats on Instagram meant each agent — or whoever handled marketing, if anyone did — laid out the image by hand, with the colour, font or logo drifting slightly from one post to the next depending on who made it. With branding already set, all three agents generate the PDF sheet and the Instagram image for their listing straight from the property record, and all three posts come out with the same colour, the same font and the same logo, with no one needing to check it before publishing.
The result is not just cosmetic: before branding was configured, that manual layout easily took ten or fifteen minutes per property between picking colours, placing the logo and checking nothing overlapped the photos. With branding ready, generating the PDF sheet and the three Instagram variants for a property takes seconds, and the time that used to go into layout work is freed up for what actually closes a sale: calling the buyer who fits.
This is the same branding the CRM applies to sheets and social images from the day it is configured, with no need for a designer on every new listing. You can browse the rest of the CRM's features, or read what to check before signing up for a real estate CRM if you are still comparing tools.
