Instagram, Facebook and TikTok leads straight into your real estate CRM

RealEstateCRM España · 19 October 2026

An agency in Torrevieja runs an Instagram ad with a form for people looking for a home near the sea. Twenty-two requests come in over three days. One person downloads them as a CSV from the ads manager, pastes them into a shared sheet and pings the team on WhatsApp. By then, half of those buyers have been waiting two days for a call, and three of them have already heard from another agency. The ad worked. What failed was the journey between the form and the agent.

To get your agency's Instagram, Facebook and TikTok leads straight into the CRM, you connect your ad accounts to the software itself, so every submitted form becomes a contact without anyone copying anything. In RealEstateCRM this is done from the integrations panel, with Meta Lead Ads for Instagram and Facebook and TikTok Forms for TikTok, using your own accounts.

The weekly CSV is where leads go cold

Ad platforms keep leads in their own place. Meta leaves them in its ads manager, TikTok in its own, and each has its own way of exporting them. Usually someone downloads them when they remember, sometimes daily and sometimes on Mondays, and moves them by hand into whatever the agency uses. Every transfer is a spot where a row gets lost, a phone number gets mistyped or the job simply gets put off.

The underlying issue is time. A buyer who leaves their details on an ad has just been thinking about buying, and that intent cools fast. If the lead takes a day and a half to reach the person who should call, whatever you paid for that ad has already been spent on the way.

Connect your accounts once instead of exporting every week

With the integration on, the flow turns around: you no longer go and fetch leads, they come to you. From the integrations panel you connect your Meta or TikTok account with your own credentials, and from then on every form that gets filled in arrives in the CRM as a contact. You can also disconnect a channel from the same place if you stop running campaigns on it, without touching anything else.

Using your own accounts matters for two practical reasons. You keep paying for and managing the ads yourself, with your budget and your targeting, and the details of whoever fills in the form never pass through a third party's account. The CRM simply collects what is already yours.

Source channel and duplicates: what you only notice once it is missing

Each lead that comes in keeps the channel it arrived through on its record. It sounds minor until, at the end of the quarter, you want to know whether Instagram brings you more buyers than the portals or whether TikTok only brings the curious. Without that detail noted at the time, the answer is a hunch, not a number.

Duplicates are the other detail. Someone fills in the Instagram form on a Tuesday and the Facebook one on Saturday, because they see the same ad in two places. Unchecked, the CRM would hold two records for the same buyer and two agents calling them separately. Here, automatic deduplication on entry avoids opening that second record, and the contact keeps its whole history in one place.

A case: one weekend campaign

Picture an agency with three agents that launches a penthouse ad on Instagram and another on TikTok on a Friday. By Saturday afternoon, eighteen leads have come in. Before, someone would have moved them to a sheet on Monday and handed them out by hand. Now, the agent who opens the CRM on Saturday sees the new contacts with their source channel, calls the most recent ones before dinner and books two viewings for Monday.

The difference is not a better ad. It is that there is no CSV between the form and the call any more. And since each contact records where it came from, on Monday you can calmly look at which ad brought in whom.

If you want to see how this fits with the rest of the software, multichannel lead capture is described in the CRM features and complemented by everything else RealEstateCRM includes. To stop leads cooling off once they are in, it may help to read about following up real estate leads, and for messages that arrive through your own website form, the contact message inbox. RealEstateCRM is built to keep the trip from ad to agent short.
